AGRIFUTURE Conference 2026 Privacy Notice
AGRIFUTURE Conference 2026 is a joint conference of the Ministry of Agriculture and Environment of Vietnam (MAE) and DLG, confirmed in writing between the parties.
Participation is by nomination. You received an invitation because an organizer nominated you. Your registration is complete only when you confirm it yourself and give your consent below. Nomination alone does not register you, and does not constitute your consent.
1. Who controls your data
Three organizations share responsibility for AFC26 participant data under a written joint controller arrangement. Which one is responsible for your data depends on how you were nominated.

Consolidated participant list. To produce badges, plan session capacity, and organize the field visit, a limited set of fields is consolidated across both segments. The three organizers are joint controllers of that consolidated list and have allocated responsibilities between them in writing. You may request a summary of that allocation from either contact above.
Processor. The registration platform is operated by DLG Markets Asia Pacific Co. Ltd. on the organizers’ instructions under a written data processing agreement. The operator may not use your data for its own purposes.
Where to direct a request. You may contact either VAN or DLG Markets Asia Pacific. Whichever receives your request will act on it or pass it to the responsible controller, and will tell you that it has done so.
2. What we collect
Only what is needed to confirm your participation and run the conference.

Sensitive personal data. We do not collect sensitive personal data as defined by the PDPL. Please do not enter identification numbers, health information, biometric data, or political or religious affiliation in any field.
We removed fields we did not need. Earlier drafts of this form collected a title prefix, badge display name, postal address, city, and company website. These have been deleted. Your badge name is generated from the name you enter, and you may amend it at the registration desk.
3. Why we process it
- To confirm your participation and record your consent
- To produce your conference badge
- To send you conference communications: joining instructions, programme updates, venue and logistical information, and changes to the schedule
- To plan capacity for plenary and parallel sessions
- To organize the hosted field visit on 30 October 2026, including transport, site access, and safety arrangements
- To provide the official delegate list to MAE for protocol and venue security
- To produce anonymous, aggregated participation statistics
- Where you consent separately, to publish images in which you appear, and to send you information about future DLG activities.
4. Your consent
We process your data on the basis of your consent, given by you at confirmation.
You are asked for three separate consents:
Conference delivery — required. Without it we cannot register you.
Photography and filming — optional. You may attend without it.
Future DLG activities — optional, and offered only to participants nominated through DLG’s international network.
Nothing is pre-selected. Consent 1 alone completes your registration.
A nomination is not consent. An organizer providing your name and email to nominate you does not register you and does not give consent on your behalf. Only you can do that. If you do not confirm, we delete your nomination record — see section 7.
Withdrawal. You may withdraw any consent at any time, and you may send your withdrawal to conference@dlg-asiapacific.com. Withdrawal is free and requires no explanation. Withdrawing consent 1 cancels your registration. Withdrawal does not affect processing already lawfully carried out.
Where consent is not required. In the limited cases where the PDPL permits processing without consent — for example to comply with a legal obligation or a lawful request from a competent authority — we apply a monitoring mechanism comprising appropriate protective measures, periodic risk assessment, regular compliance review, and a channel for receiving and addressing petitions.
5. Who receives your data
We do not sell personal data. The sale and purchase of personal data is prohibited under the PDPL and we do not engage in it.
We do not give participant lists to sponsors, partners, or exhibitors. No sponsor, partner, tabletop exhibitor, or media organization receives a participant list, contact list, or data export at any time. If you choose to have your badge scanned at a partner’s tabletop, that specific act shares your name, organization, position, and email with that partner. The choice is yours and you may decline.
Media coverage. VAN is a co-organizer and also reports on the conference as a media organization. These are separate roles. Participant data VAN holds as co-organizer is not used for its editorial or subscriber activities. If VAN wishes to interview you or use your details editorially, it will ask you separately.

6. Transfer Outside Vietnam
If your controller is DLG Markets Asia Pacific Co. Ltd., your data is processed in Thailand.
If your controller is VAN, your data is held in Vietnam. Limited fields for the consolidated participant list are transferred to DLG Markets Asia Pacific for badge production and field visit coordination.
For all transfers of Vietnamese participants’ data outside Vietnam we maintain a Transfer Impact Assessment as required by the PDPL, filed with the competent authority and reviewed at least every six months. Transfers are protected by written contractual safeguards, access controls limited to named personnel, and encryption in transit and at rest.
7. How long we keep it

De-identified data is outside the definition of personal data under the PDPL. We use de-identified data for long-term participation statistics.
8. Your rights
You may:
- Be informed how your data is processed
- Access your data and obtain a copy
- Correct inaccurate or incomplete data
- Withdraw any consent
- Request deletion of your data
- Request restriction of processing
- Object to processing
- Ask which third parties have received your data, and ask us to stop providing it
- Complain to the competent authority
Write to your controller in section 1, or use the manage your data and send it to conference@dlg-asiapacific.com. We acknowledge within 72 hours and complete your request without undue delay. If we cannot act on part of a request — for example where tax law requires retention — we explain why.
9. Your obligations
The PDPL also places obligations on you. Please provide accurate information, and respect other participants’ data: do not photograph, record, or collect the details of other participants without their agreement
10. Security
Access is limited to named personnel on a need-to-know basis and is logged. Data is encrypted in transit and at rest. Every processor operates under a written data processing agreement. On-site staff use secured devices; participant data may not be held on personal devices or shared through consumer messaging applications.
11. Data breaches
If a personal data breach is detected, the responsible controller notifies the Cybersecurity and High-Tech Crime Prevention Department (A05) of the Ministry of Public Security within 72 hours of detection, and notifies affected individuals where required. The joint controllers are obliged to notify each other within 24 hours of detecting a breach so that this deadline can be met.
12. Changes
We may update this notice. If a change materially affects how we use data you have already given us, we will tell you directly and obtain fresh consent where required. Each version carries a version identifier, and the version you consented to is recorded against your registration.
